Personalized WhatsApp outreach: 7 patterns that actually work

A "personalized" WhatsApp message that reads "Hi {{name}}, hope you are doing well" is not personalized — it is a mail merge with a friendly costume on. The actual job is to make the recipient feel that someone took five seconds to think about them. Below are seven patterns we keep seeing in campaigns that perform.

1. Use at least two variables, not one

One variable is a costume. Two is a sentence. Combine a name with the most recent thing the contact did with you — the webinar they registered for, the property they enquired about, the demo they booked.

Hi {{name}}, quick note about the {{last_event}} session you joined…

2. Lead with the value, not the greeting

WhatsApp previews show roughly the first 90 characters in the recipient's notification. Spend those characters on the reason you are messaging, not on "Hi there hope you are well". The greeting can come on line two.

3. Keep messages under three lines

WhatsApp is not email. Anything past three lines feels like a flyer. If you have more to say, link to a page — a Google Doc, a Notion brief, a landing page — and keep the message itself a single specific question.

4. Send in their daytime, not yours

Schedule by the recipient's likely timezone. A 9 AM IST send to your Bangalore list is normal. The same 9 AM IST blast to your London list lands at 4:30 AM. The latter is the difference between "thoughtful operator" and "robot".

5. Pace the queue, do not flood it

WhatsApp's anti-abuse heuristics watch for unnaturally rapid sends. Even more important — your recipients watch for them. Five identical-looking messages going out in the same minute makes both your provider and your contact list suspicious.

6. Track replies, not opens

WhatsApp does not give you reliable read receipts in bulk. Stop optimizing for them. The metric that matters is reply rate — how many of the people you messaged actually wrote back. A campaign with a 25% read rate and 0% reply rate is worse than a campaign with a 70% read rate and 8% reply rate.

7. Make opt-out frictionless

Always include a way out. "Reply STOP and I won't message again" at the end of the first message in any new campaign tells the recipient they're in control. Counter-intuitively, opt-out language usually improves reply rates — it reads as honest.

Putting it together

A message that hits all seven patterns looks something like this:

{{name}}, quick follow-up on the demo you booked for {{product}} on {{demo_date}}.

I noticed you didn't pick a time — were you still figuring out a slot? I have a 15-min window tomorrow at 4:30 PM IST if it helps.

If you've already moved past it, just reply STOP and I won't follow up again.

Two variables, value first, three lines, scheduled for the recipient's daytime, naturally paced, optimized for reply, opt-out included. Not magic — just craft.
